PlansDrop for Public/Contractor Users

This documentation pertains to the PlansDrop product exclusively. Staff users, please register for an account for documentation target specifically for you.

About PlansDrop

PlansDrop was created to give governments and applicants a safe, secure, no contact way to transfer project plans. 

What you can do:

  • Input basic project information (location, description, etc.)
  • Upload project documents such as applications, plans, forms
  • Upload pre-project documents
  • Check on project upload status (e.g. is it complete, are more items needed)
  • Upload corrected documents

What you can not do:

  • Make application fee payments
  • Schedule inspections

Project Dashboard

  • Select any row to open that Project.
  • To sort the project list, select any of the column headings. Use the arrow to switch the order.
  • To search the list, enter text or numbers in the Search box and select enter.
    • If you have a large number of projects, you can limit the search to one column (e.g. location). 
    • To clear the search, remove the entry in the Search box and select enter.
  • Only 7 projects will be loaded per page. Use the arrows or numbers to scroll through the pages.

Project Details

  • You can return to the Project dashboard by selecting the CityView logo or text in the upper left.

  • If the information does not update, use the browser refresh/reload button Refresh
  • Files can be upload via a folder search or using drag and drop.

Project Status

  • A project will have one of the following statuses:
    • New - This is the default status when you create a new project. The project will stay as New until the staff has reviewed it. 
    • Waiting for Submittals - This status indicates that one or more of the required documents is missing or is incomplete. You will need to open the project and check which documents need attention.
    • Verify Resubmission - Once you have resubmitted rejected documents, they will be verified by staff. 
    • Canceled - If no action is taken on a project after a period of time (e.g. uploads are not added or corrected), it will automatically close. Therefore, you should not create a project until your documents are ready for submission.
    • Closed - Once the staff is satisfied with the quality and content of the submittal documents, the project is closed. This does not mean the application as a whole is closed, it just means there is nothing further to do in PlansDrop.
  • Only staff members can change the project status.

 

PlansDrop is a secure, easy, no-contact way to upload electronic documents to a construction project.

When you first use PlansDrop you will be required to create an account using the SIGN UP HERE link.

Why do I need an account?

  • Convenience - you only need to fill in your contact information one time. You can then upload plans to any of your projects in any of the participating municipalities using the same login.
  • Reference - your account information will be associated with the project so if you need to be contacted before the project can move forward, the reviewing agency can do that. 
  • Accountability - PlansDrop is a convenience for you, but users need to be accountable to keep them from mischief and wasting the time and disc space of the host. 

What information will I be asked for?

When you register as a public user or contractor you will be asked to provide the following information:

Required fields:

  • A valid Email Address. This will be your user login id and you will receive a verification email to this account, so don't fake it.
  • A Password of 12 characters or longer.
  • Your Full Name. This can also be the name of your company. 
  • A valid Phone Number where you can be contacted about your application.
  • An Address where correspondence can be sent.
  • The answer to the security question to prevent automated requests (e.g. spambots). 

Once you have filled in the form, use the Register Now button to submit your registration.

What next?

Once you submit your registration request by selecting the Register Now button, you will receive a thank you message (shown below) and a confirmation email at the address provided to confirm your account. Select the link in the email to verify your account. You can now log into PlansDrop and start submitting your project plans.

Once you log into PlansDrop, you will be presented with a screen that shows any previous projects you have entered, in any municipality, and the opportunity to enter a new one.

Create a New Project

In order to upload your documents, you will need to first create a project to associate the documents to.

  1. Log into PlansDrop.
  2. Select the + New Project button.
  3. Enter the information in the fields. Required fields are marked with a red * asterisk.
    • Jurisdiction - Use the drop-down to select which jurisdiction the project is in. 
    • Location - The address of the project. If the jurisdiction includes more than one town, hamlet, etc. (e.g. a county), please include the full address.
    • Property Owner - The name(s) of the property owner(s). 
    • Project Type - Use the drop-down options to select if this is a Building, Engineering or Planning Project or a Pre-Application submittal. 
    • Project Name - Give your project a name so you can easily find it again to check the progress.
    • Project Description - Briefly describe what is being built. 
  4. If you make a mistake, select the X at the right to clear the values and start again.
  5. The Submittals section will not be active until you have filled all of the required fields (at minimum) and selected Continue.
    • You will get a pop-up warning if you miss a required field and will not be able to continue until you enter a value.

CityViewTIP: you can select the CityView name or icon at any time to return to your Projects screen just note that, depending on where you where in the process, some changes may be lost.

Upload Documents to a Project

You will upload documents in the Submittals section of the screen. 

You will be provided with the following guidelines. If you have a question about a particular document or requirement, contact the jurisdiction directly.

 Guidelines For Electronically Submitting Documents
  • Submitted documents should be under 40MB in size.
  • Accepted file extensions:
    • pdf, dwg, cad, jpg, png, tif, docx, xlsx
  • All plans shall be to scale.
  • Recommended naming conventions:
    • Keep filename consistent.
    • Avoid the use of non-friendly filenames. (ex. k9dk38fj3.pdf)
    • Avoid inappropriate language in filenames.
  • Submitted documents will be stamped at the conclusion of the review.
    • The stamp will be placed in the upper right-hand corner of the document. It is recommended that this area, to the extent possible, be left blank so that no information is lost when the stamp is applied.

Once you have chosen the files you wish to upload, please click the "Continue" button located at the bottom of the page, to complete your submission.

  1. Each submittal item will have its own upload section to make it easier for you to provide a complete application and to help staff process the documents. 
  2. Under the correct submittal item, either drag the document from a folder or your desktop into the tab box or use the BROWSE... button to search for the document location, select the file name and select Open. 
    • If you have started uploading the wrong document, you can use the minus Abort button to stop the upload or the trash can Trash icon to delete after the upload is complete.
  3. You will get a notification that the file has been successfully uploaded.
  4. Repeat this process for each Submittal item.
    • If you need to upload documents that do not match a particular item name/description, upload it to the Other Project Files section.
  5. Select Continue to finish the upload process and Review and Submit.

Review and Submit

You will now finalize the new project and submittals.

  1. Selecting Continue in the Submittals section will take you to the Review and Submit section.
  2. Verify the Project Details. You will not be able to change the type or jurisdiction once the project is submitted.
  3. You can open any tab by selecting it. To update the information, make your changes, and select Update.
  4. Do not close your browser window until you select Submit.
  5. Your Project will be saved and you will be taken to the Projects screen.

Once you log into PlansDrop, you will be presented with a screen that shows any previous projects you have entered, in any municipality, and the opportunity to enter a new one.

Opening an Existing Project

From the Projects screen, you will be able to view all projects you have created along with their current status. 

  1. Select any row to open that Project.
  2. To sort the project list, select any of the column headings.
  3. To search the list, enter text or numbers in the Search box and select enter.
    • If you have a large number of projects, you can limit the search to one column (e.g. location). 
    • To clear the search, remove the entry in the Search box and select enter.
  4. Only 7 projects will be loaded per page. Use the arrows or numbers to scroll through the pages.

Project Information

You will not be able to edit:

  • Project Number
  • Project Type
  • Project Status
  • Entered On
  • Date Closed
  • Jurisdiction

You will be able to edit:

  • Project Name
  • Project Description
  • Location 
  • Property Owner

Updates will be saved automatically.

Understanding the Status

  • Closed  - If your project is Closed it means that all of the uploaded documents have been accepted, no new requirements were added and no further action needs to take place within the PlansDrop application.
  • Waiting for Submittals - If your project is Waiting for Submittals it means one of the following:
    • The uploaded files were Returned for Correction meaning there was an error or omission. 
    • The files were not uploaded and are required.
    • New requirements were added based on the project information.
  • Canceled - Your project will be canceled if not acted upon within a certain time frame.
  • New - Your project and submittals have not yet been reviewed by staff.

Uploading New Documents

If your project is Waiting for Submittals you can upload the required new or corrected files.

  1. From the Project dashboard, open a project with a Waiting for Submittals status.
  2. In the Submittals section, you will notice an Incomplete status in the upper corner.

Returned for Correction

  1. Each submittal item will have a status after it; you are looking for the Returned for Correction item.
  2. The Comments column will tell you why the document was rejected. If you have a question, contact the municipality directly.
    • If you wish to view the rejected document, use the download button.
  3.  Use the BROWSE... button to search for the required file or drag and drop the file name into the grey area below the item information. 
  4. Use the Submit button at the bottom to start the transfer.

Not Received

  1. Each submittal item will have a status after it; you are looking for the Not Received item.
  2. Use the BROWSE... button to search for the required file or drag and drop the file name into the grey area below the item information. 
  3. Use the Submit button at the bottom to start the transfer.
